In this Privacy Policy we will inform you about our processing of your personal data. We commit ourselves to be transparent with you by providing clear information about what personal data we process, the purpose of processing, the personal data retention period, the legal basis for the processing of personal data, and other information that we are required to provide pursuant to applicable legislation.

1.    What personal data do we process and why?
By ordering goods, using our services, submitting enquiries, requests, suggestions, comments, complaints, requirements and feedback, you provide us with your personal data that we shall process. We lawfully process the data that you provide to us and use them for the following purposes.

1.1    Ordering goods at the pick-up point

We process personal data in order to conclude an agreement with you and to execute it.

We process your data in order to fulfil your purchase orders, to notify you about goods ready for delivery and to hand the goods over to you. Also, in cases when you ask for some specific goods, for example, inquire when a missing item will reappear in store, etc., we process your data (name and phone number or e-mail) to be able to inform you thereof.
We receive your personal data once you place a purchase order, submit a request at our pick-up point or sign a purchase acceptance document.
You must provide your personal data when ordering goods at our pick-up point. If you fail to provide them, we may refuse to fulfil your order.
In cases when we inform you that goods are ready for pick-up by SMS, we transfer SMS data and your phone number to our data processor, i.e. the company providing SMS services, which processes data in Lithuania.
Your personal data shall be stored for 7 years from the end of the financial year when your order was fulfilled. In cases when you submit an enquiry about some specific goods, we shall store your personal data until we inform you thereof. SMS data (when we inform you that your goods are ready for pick-up) shall be stored for 72 hours.

1.2    Home delivery of goods

We process personal data in order to sign an agreement on delivery of goods and to execute it. 

We process your data in order to fulfil your order of home delivery of goods and to label packages of all ordered goods by specifying the address to make sure all goods are successfully delivered to you. 
We receive your personal data when you submit your order of home delivery of goods.
If you order the service of home delivery of goods, you must provide your personal data. If you fail to provide them, we will not be able to fulfil your order.
We transfer your personal data to our partners, i.e. companies providing home delivery services that deliver goods directly to your door. 
Your personal data shall be stored for 3 years from the order fulfilment date.

1.3    Assembling and/or installing furniture (including measurement of the premises)

We process personal data in order to sign an agreement and to execute it. 
  
We process your personal data in order to fulfil your order for assembling and/or installing furniture (including measurement of the premises). We receive your personal data when you place the aforementioned orders with us.
If you order these services, you must provide your personal data. If you fail to provide them, we will not be able to fulfil your order.
We transfer your personal data to our partners, i.e. companies that provide services of assembling and/or installation of furniture (including measurement of the premises).
Your personal data shall be stored for 3 years from the order fulfilment date.

1.4    Home furnishing (including kitchen planning and ordering parts of kitchen)

We process personal data in order to sign an agreement and to execute it.
   
We process your personal data in order to fulfil your order for home furnishing, including kitchen planning. Also in such cases when you submit inquiry on kitchen parts, we process your data, so we could order and notify you of the received (manufactured) parts.
We receive your personal data when you place your order with us, as well as when you notify us about missing parts and order them. 
You must provide your personal data when you order this service or request to order particular kitchen parts. If you fail to provide them, fulfilment of your order or ordering of parts may be aggravated or left uncompleted.
Your personal data shall be stored for 1 year from the order placement date. In such cases when you provide personal data in regards to kitchen parts, we shall store the personal data for 3 months from the date of acquisition of goods.

Information on how we process your personal data when you sign an agreement and pay for home furnishing service, is available in the Section “Agreements with natural persons, including invoices received/issued“ of the Privacy Policy.

1.5    Replacement and/or return of goods, refund

We process personal data in order to execute a purchase agreement.
   
We process your personal data in order to ensure your right to return and/or to replace goods in accordance with our internal procedures and to make refunds to your bank account in such cases when, for example, you overpay for goods, when the refundable amount exceeds EUR 300, and the like. 
You must provide your personal data for us to be able to return and/or to replace goods and to make refunds to your account. If you fail to provide your personal data, we will not be able to ensure your right to return and/or to replace goods, nor will we be able to make refunds to your bank account.
We receive information about you once you fill out a form of replacement and/or return of goods or a refund request. Also, when you contact companies providing home appliance warranty services, these companies provide us with your personal data for us to be able to contact you and to make a refund or to deliver a new high quality home appliance to a company providing home appliance warranty service. 
Your personal data entered in the form of replacement and/or return of goods or a refund request shall be stored for 3 years. Personal data received from companies providing home appliance warranty services shall be stored for no longer than 6 months.

1.6     Addressing enquiries, requests, suggestions, notes, complaints, requirements and feedback

Your personal data are processed based on our legitimate interests to make sure that your complaint or another request is legitimate, to analyse it and to respond to you, while we process personal data of special categories in order to declare, fulfil or protect legal requirements.

We process your personal data in order to assess  and to address your enquiries, requests, suggestions, comments, complaints, requirements, feedback,  to make sure that they are reasonable and to respond to you, also seeking to declare, fulfil or protect legal requirements.
When submitting a complaint, you must provide us with your first name, surname, contact information, complaint description and documents supporting legitimacy of your complaint. If you fail to provide the mandatory information, we will not be able to assess and to address your complaint. We allow you to choose whether you want to receive an answer to your enquiry, request, suggestion, comment, complaint, requirement or feedback, and how you want to receive it, therefore you need to indicate your phone number or e-mail, whichever you prefer. If you fail to provide the specified information, we will not be able to respond to you.
We receive your personal data when you submit the aforementioned enquiries, requests, suggestions, comments, complaints, requirements or feedback by mail, e-mail,  calling our call centre, on our Facebook account, in the public space,  or when you fill out a feedback form (“Help us to improve”) at our pick-up point.
We may transfer your data to an insurance company or legal advisors. 
All the personal data related to the submitted complaints, enquiries, requests, suggestions, comments, requirements or feedback shall be stored for no longer than 3 years from their settlement date, if there is no other deadline provided for by laws. Personal data may be stored longer if settlement of a complaint, enquiry, request, suggestion, comment, requirement or feedback fails or is still in progress, also if personal data are required in order to protect our or any third parties’ legitimate interests, e.g. for the period of statutory limitation or in case of a legal dispute. If a complaint is to be settled by signing a peaceful settlement agreement, your personal data shall be stored for 7 years from the end of the financial year when the agreement expired.

1.7    VAT invoices for acquired goods, services

Your personal data are processed in order to fulfil our legal obligation.
  
We process your data in order to ensure fair fulfilment of tax obligations, correct invoicing, and administration of accounting documents, such as VAT invoices or credit VAT invoices, when you purchase goods at our pick-up point. We receive information about you when you provide it to us  for us to be able to issue to you a VAT invoice for the acquired goods or services, and a credit VAT invoice for goods returned. 
You must provide us with your first name, surname and address. These personal data are required in order to correctly issue documents. 
If you fail to provide your personal data, we will not be able to issue accounting documents to you.
Your personal data shall be stored for 7 years from the end of the financial year of acquisition and issuing of accounting documents.
We transfer your personal data to auditors.

1.8    Wheelchair loan

Your personal data is processed in order to fulfil an agreement. 

We process your personal data, so we could provide you with a wheelchair for temporary use free of charge during your visit at our store during its working hours and in case we need to contact you (e.g. if a wheelchair is not returned).
So we could provide you with a wheelchair for temporary use, you must provide us with your personal data. If you fail to provide the data, we may refuse to hand it over to you. 
We receive information about you once you fill out your application for wheelchair loan. 
Your personal data is stored until you return a wheelchair.

1.9    Lost and found

 Your personal data are processed based on our and your legitimate interests to retrieve your item(s) that you lost (left) at our pick-up point.

We process your personal data in order to ensure your right to retrieve your item(s) that you lost (left) at our pick-up point.
We receive your personal data when you sign a deed of acceptance of findings.
You are not obliged to provide your personal data, but if you refuse to provide them, returning items back to you will be more complicated.
Your personal data shall be stored for 1 month from the date of signing of a deed of acceptance of findings.

1.10    Hire purchase

Personal data is processed in order to fulfil an agreement.

We process your personal data for purpose of hire purchase allowing you to pay for goods at our selling points based on your loan agreement. Additionally, we use certain data for statistical purposes, as outlined at point 1.6. of „Privacy policy for loyalty program and digital solutions “.

When you initiate the hire purchase process, you provide us with your certain personal data. This information is immediately transferred to our partner AS "Citadele banka" where it is securely stored. We also receive some data from AS "Citadele banka", when you sign loan agreement with them.

If you do not provide personal data, you will not be able to use hire purchase service.

Your personal data shall be stored for 12 months from the financing agreement.

2.    Who can we disclose your personal data to?
We can disclose your personal data to:
a)    companies that we work with
Personal data are disclosed to companies, which provide services to us, i.e. data processors, such as:
•    IT maintenance companies and IT support companies, which process personal data within the European Union/ the European Economic Area;
•    UAB Felit (IKEA Lithuania) and SIA Paul Mason Properties (IKEA Latvia), which provide support, maintenance, administration services and process personal data in Lithuania and Latvia, respectively, and the companies mentioned under each processing purpose. All these companies shall ensure equivalent protection of your personal data, shall not use them for unauthorised purposes and shall ensure that their partners do the same.
b)    state, municipal institutions and other entities performing functions assigned to them by law 
We transfer your personal data to state, municipal institutions and other entities performing functions assigned to them by law upon receipt of their request or if we are obliged to provide such data in accordance with legislation, or if we seek our legitimate interest to declare, fulfil or protect legal requirements.

3. Protection of personal data
We use technical and organisational security measures to protect your data, e.g. your personal data are stored in systems behind secure networks and are only accessible to a limited number of persons with special access rights to such systems, etc.

4.    Your rights
Your rights are as follows:
a)    the right to receive information on whether or not we process your personal data  and the right to access your personal data. That’s why we inform you in advance about our processing activities in this Privacy Policy. Should you have any questions or would like to learn more about your information that we process, you are always welcome to contact us, and we will provide you with further information;
b)    the right to ask us to correct any inaccurate personal data;
c)    the right to delete your personal data, if you believe we should no longer keep them, or you can simply decide to withdraw them, if you have previously given your permission thereto. This shall not apply to cases where processing is necessary to exercise the right of freedom of expression and information, to ensure the compliance with a legal obligation or the establishment, exercise or defence of legal claims;
d)    the right to receive your personal data or to transfer them to another company (known as the right to data portability). This right is not applicable when personal data processing is automated based on your consent or upon signing an agreement;
e)    the right to restrict the processing of your personal data in some circumstances. This means we will continue to store your information, but we will suspend any other processing. Why would you want to do this? For example, when you asked us to fix incorrect information, you may want us to stop processing your personal data until the information is correct;
f)    the right to object to our processing. This applies when data processing is based on legitimate interests pursued by us or by a third party. You can do this when you believe that your personal interest outweighs ours;
g)    the right to withdraw your consent to the processing at any time.

You also have the right to complain to the Estonian data protection  inspectorate (https://www.aki.ee), 39 Tatari st., 10134, Tallinn, Estonia, tel. +372 627 4135, e-mail: info@aki.ee, if you believe that the processing of personal data by us does not comply with the applicable legislation.

We review our Privacy Policy on a regular basis. This Privacy Policy was updated on the 7th of March, 2024.
